First line is for a common name, the most used one if you can find which that is, other common names can be added later. Genus is on one line, species on the next (including subsp. if there is one) , then cultivar name. The fields for tradename and series name are for those which have a registered tradename, or a series where there's usually more than one cultivar in a series.

An example is this Florist's Cineraria where there's several named cultivars in a series, also trademarked. It can be confusing!

I was going to suggest you use Word, I'm glad you thought of it. Make sure you back it up in case you lose it though, computers sometimes crash. Do you have an external hard drive?
